We use AppRiver to scan all incoming messages for spam etc. They send daily reports to each user, yet many of our users, including three accounts that I manage myself do not receive these messages. AppRiver has indeed been sending them out, I can see their arrival in the SMTP logs. What happens after thay is a mystery. They are never seen again. We are using IMAP for our individual mail accounts.

All spam and anti-virus filters in hMail are shut off. The address is White-listed.
Clearly the messages are getting past the gateway, the web filter, and the firewall, as they are being logged by hMail.

I am at a loss to figure out how to remedy this. (BTW this occurs with Thunderbird, Outlook, and PostBox, and in RoundCube, our web based access portal.

I turned on IMAP logging, but this generates pages of entries the likes of which make me wonder what in the world is happening at 00 hours in the morning. Most computers are indeed left on, but there is nobody using them.

Thanks for your help.
Elias

auto fetch in email client will generate plenty activity when no one is doing anything.

are thse messages left in delivery queue and/or can you see them in hm_messages table?
Do you have IMAP software logging(not hmail IMAP logging) switched on and have you checked those logs?
Have you checked imap deleted and spam folders for them?
Do IMAP software settings for these accounts auto delete spam and does anything getting deleted get saved to deleted items folder or is that auto deleted too?

I do not see a delivery queue, and how would I find an look at the hM_message table. That looks like the place to look. I do not see any IMAP logging in any of my e-mail applications. Maybe I can get the firewall to do this for me?

Thanks, Elias

delivery queue is at admin/status/delivery queue tab / refresh button

hm_messages table needs to be viewed via a database tool such as phpmyAdmin or a MySQL tool such as query browser (assuming you are using MySQL) or some other depending on which database you are using.

Which IMAP web client are you using, if at all ?

Are you sure your smtp logs show the messages as being accepted?

There is nothing in the delivery queue.

I have been using both Thunderbird and Outlook as my IMAP clients, but I have recently switched to PostBox (Mozilla engine) as my email client. None of them are set to stop spam, and all of the junk folders are empty. I can also use RoundCube to access IMAP via a Web Browser.

Yes, the messages do show up in the log has having been received (Leastwise if I can read the Logs correctly.)

A log excerpt reads:
SMTPD 2092 8223 01:32.3 8.31.233.117 RECEIVED: MAIL FROM:<notice@appriver.com> SIZE=247448
SMTPD 2092 8223 01:32.3 8.31.233.117 SENT: 250 OK

SMTPD 2080 8223 01:44.4 8.31.233.117 SENT: 354 OK, send.
SMTPD 1884 8223 01:44.7 8.31.233.117 SENT: 250 Queued (0.218 seconds)

SMTPD 2092 8223 01:45.0 8.31.233.117 SENT: 221 goodbye

Thanks
Elias

log into roundcube for one of those users and check your spam and deleted folders in there.

Also in roundcube check you do not have auto delete of spam messages and that deleted items folders is not cleared when you exit roundcube. These are things which could leave you without trace of those emails.

Also in roundcube config folder there is file main.inc.php

options in that file allow you to switch on full logging of all IMAP activity within roundcube.

correction

SMTPC is other mailserver responding to hmail when sending mail from hmail
SMTPD is hmail receiving message for delivery from email client or other mailserver(incoming).

(I think)

correct percepts

@BroadwayLion
What logging do you have enabled?
If you don't have application logging please enable it.

If elias.thienpont@assumptionabbey.com exists on your local hMailserver, then I'd say that delivery is a certainty following that SMTPD log snippet that you show

If you can't see the message, then find a similar log snippet after you additionally enable application logging, and post that plus the next 90 seconds of logging

This is Ramu. He lives in a zoo.
Image
He is also the source of my problem, or at least apparently so.
"Ramu" is the Network Administrator account, and owner of the it@assumptionabbey.com address.

Every time I set up a computer, I log in as Ramu. I install Firefox and Thunderbird. Every computer on the network therefore has a user named "Ramu", and he has a Thunderbird profile on that computer. Thus, every computer is calling for downloads from the IT account, and if it looks spamy, deletes them. Reports from AppRiver by their nature, look spamy, and so I never got to see them, or at least not since Thunderbird updated some of its services.

It is quite impossible to go around to every computer on the network to eliminate this problem, and so I just changed the name of the IT account to ITN, and made IT an alias of ITN. Now only my computer will process messages addressed to that account.

Thank you for helping me track down this issue. I sent you this report back, since such issues may occur with other users.

Elias
